Below you’ll find an example of our job description and position contract for our personal training staff. You might recognize that term “position contract” from Michael Gerber’s book, The E-Myth. I took our job description, expanded it a little and turned it into a signable document that can always be referred back to to see if people are performing their responsibilities. It clearly lays them out and leaves no grey area which can minimize feelings of resentment or miscommunciation between management and the staff.

It’s good practice to sit down with the employee initially and periodically in the future to review the points laid out in this document. Feel free to take our sample here below and customize it for your business and staff.

S.P.A.R.T.A. Position Contract and Responsibilities-Independent contractor

S.P.A.R.T.A. is a premium personal training company that operates in several Fitness First locations in the DC Metro area (Leesburg, Ashburn, Reston, Tysons), in client homes and offices and even online.

Training with S.P.A.R.T.A. is essentially giving you the freedom to have your own business within our business. We’d like to help you grow your clientele into a nice sized portfolio supplying you steady, comfortable income and potentially a career. We are looking for a highly motivated self-starter with ability to juggle multiple clients. You’ll be a leader, but still part of our team. You’ll be instructing 1 on 1 and small group (2-3 people) sessions in 30 minute blocks. You’ll likely start part time and move to a full time position if you wish. You’ll be able to build your relationship with the clients right from the beginning starting as a prospect and moving to a qualified lead and finally, to a converted paying client.

Your pay is commission based on the number of sessions you perform in the pay period. You can track all of your sessions in our online system and you will be compensated based on that number.

Benefits of working with S.P.A.R.T.A.

Health Insurance accounts (HSA, etc.)

Opportunity for retirement/financial planning with no-commission advisor (IRA, Investment planning, budgeting)

Company support for marketing and lead generation

Advanced technical education from Master Trainer

Proven safe, effective, and efficient training system already in place

Proven effective consultation process and sales system

Take credit cards with our payment system

Double your income with our training system

Increase in pay based on performance annually

Check in with your supervisor once per week with a phone call or in person

Should you decide to leave the company, you’ll be expected to notify the company at least 2 weeks in advance and be responsible for training your replacement for your position.

You’ll be expected to work toward being the best you can possibly be at the tasks you’re accountable for. S.P.A.R.T.A. will be out there hustling to promote you and our guaranteed method to generate prospects for you while you do what you love. In return, treat those prospects well, show up for ALL appointments and on time, and give them a safe and effective exercise experience so they will continue to refer you more clients as one of the top trainers in the area. This position reports to administration or owner. Other responsibilities as assigned.

I talk about raising the standards in the industry all the time. Let’s be honest, they are pretty low. But, below here, I’ve got a few examples of people and businesses you might want to take a look at to model after and see if you can pull some ideas from.

First of all, take a look at Vertex Fitness in Philadelphia, PA.

Dwayne Wimmer, Owner of Vertex

Dwayne Wimmer is the owner of Vertex and he’s done an amazing job creating a professional environment and quality business model. It’s a one on one atmosphere and as you can see, the clients love it and there are many of them. Dwayne performs between 80-90 one on one sessions himself per week. I’d say that’s a success.

He says the single biggest thing contributing to their success is “No matter what challenges I face, I never give up on the focus of my passion, to help people (clients and trainers) understand a Safe, Efficient, Effective, Evidence Based Workout Program.” Looks like we can expect big things from Vertex in the future.

Vertex semi-private training room

Next let’s take a look at Rock Solid Fitness in Clearwater, FL. Owners, Patty and Dave Durell, have developed quite an operation down in the sunshine state. In addition to one on one personal training sessions, they also offer monthly free seminars, a corporate fitness option, and do simple things to reward and connect with their clients like having a client of the month award. That is one of simplest and easiest things you can do (free I might add) that can deliver big dividends to you in the form of good will and future referrals.

Rock Solid's Studio

Patty told me just the other day that they were growing exceptionally fast. Almost too fast. They’re adding quality team members to share the load and build clienteles of their own. Patty has a great start to a professional corporate culture.

The Rock Solid Staff at Work

And finally, Discover Strength in Minnesota. Owned by Luke Carlson who is getting ready to open up his second and bigger location.

Discover Strength's Lobby

Luke gave us one of the best personal training business presentations I’ve seen at his conference in MN 2 weeks ago. Clearly, he is implementing his strategies and it is paying off. With a sizeable staff and every single one of them as polished and professional as they could be. They even remembered the names of some conference attendees they had met, but hadn’t seen since the year prior. That speaks volumes about their dedication to service and being focused on delivering a quality product.

This is the epitome of the kind of corporate culture you’d want to create in your personal training business. Many large companies struggle to achieve this. While talking with Dwayne at the conference, he mentioned to me that when Discover Strength has weekly staff meetings, they always work on hand shakes. Think about that. Taking time to practice something so seemingly trivial, but it’s not. It’s an attention to quality in every last detail of your operation. A bunch of little things like that can add up to a lot in terms of how the public perceives you and how it sets you apart from the competition.

Discover Strength's Staff

That’s key. If these places are to grow to be extremely successful, they will require a professional and reliable staff. Sadly, that is one of the hardest parts and sometimes the one thing holding us back or holding us down. I think many of us in my network have learned something from Discover Strength’s model.

But, what’s common among all of us is we like to implement as many systems as possible to be able to repeat that success and perpetuate the positive culture throughout our organizations. Things like having:

A set application and interview process

A clear job description

An employee offer letter outlining benefits and pay

A clear agreement with the prospective trainer

A set internship/apprenticeship process

An employee handbook outlining company policies, etc.

And an employee exit interview when interns or employees have to move on

Many of those systems you can grab from our personal trainer store by clicking the links above and instantly implement them in your business. But, the bottom line is to learn from other organizations that have what you want. Or maybe you didn’t know organizations like this existed and it’s a good model to try to replicate. In any case, taking any of these steps is a step in the right direction to raising your level of professionalism, getting the world to take you seriously, and standing out from the crowd.

Congratulations, you’re ready to take the next step and hire some employees to work in your personal training or fitness business. This is a new challenge and there are a lot of responsibilities. You’re going to want to have your policies in place. A good way to do that is by having a comprehensive employee handbook. I’ll tell you, if it wasn’t for having a great assistant, I’d never have sat down and written all of this out. My guess is you won’t either. Which is why I’ve made this and the other resources available to you.
It’s one of those things I didn’t want to go a long time without because I was putting it off. I wanted my staff to be aware of our policies, who we are, what our mission is, and what kind of culture a professional business should have. We gave them each a copy and had a meeting to go over the policies. At the end, there is an acknowledgement form that you can have them sign indicating that you thoroughly went over everything with them and they are aware of your policies. That can come in handy in the future if there is ever a problem.

All of the standard policies are in there. It should be simple for you to grab a copy of this, and remove our name and logo and insert your own. It’s 100% customizable with your own info. Policies include:

I found this great article about how to find and attract leads using Linked In. As trainers, we’re lucky in the sense that social media and networking is one of the most powerful and cheap or free things we can do to acquire more personal training clients to our businesses. It’s a much more professional way to go about contacting and networking with people than things like Facebook. Don’t get me wrong, all social media/networking is powerful, but Linked In is specifically designed for business.

If you haven’t heard of it, Linked In is a professional networking site. It’s more than just an online rolodex or resume which is what most people think it is. There are many other uses and applications you can use to network and attract more potential clients. Take a look at what I’ve done with my profile as an example of all you can do. I have:

My Twitter account linked to my Linked In status.

Virtually my entire resume including specialties.

Over 800+ connections.

My websites and blogs listed.

I have almost 30 recommendations. I use it to easily ask for testimonials and then you can use them anywhere. Plus they are displayed on my profile.

I’m a member of about 50 discussion groups 3 of which I created. You can participate in those and network with your peers and other business leaders quite easily.

I have this blog fed right into my profile page so when I post it shows up there automatically.

And I used Google Docs to display a MS powerpoint sales presentation that anyone can view.

It leaves the possibility for me through my network to potentially contact as many as 8 million people.

I’ve used my profile or all of the things listed in the article. And there are many other things you can do and it’s all free. If you wanted to get in contact with another business leader in a big company, but don’t want to get stopped at the door, you could probably do it through your network on Linked In using the “get introduced” function. By the way, if you’re not connected to me, log in and go ahead and connect. If you need my email to connect, it’s info@spartatraining.com.

Read the article here and start to get more leads for your personal training business. If you don’t necessarily like going to networking events in person, this can offer you a decent alternative.

In addition to using great free tools like this, be sure to check back or subscribe to S.P.A.R.T.A.’s business of personal training blog for more updates and personal trainer business tools and services.

If not, you probably will. You gotta love the no B.S. style of my friend, Franny Goodrich. He really lays it out there in a style that cuts through the bull to what the information is actually telling us. If you haven’t heard of him, I suggest you take a look at his book below as well as friend him on Facebook. He’s a consumer advocate and has many years of experience in the field. S.P.A.R.T.A., being an organization that puts value on the science of fitness and personal training, we can appreciate his message and his unique approach to getting quality information out to the public.

A “NEW” Revised Edition of the Original Book that Rocked the Internet in 2010. The New “Diet, Exercise & Weight-loss Bullsh*t – Exposed!” now includes the Absolute Best Collection of No-Nonsense Diet, Exercise, & Weight-loss FACTS – Ever! This book can be the “Blueprint” to your own exercise and eating success. Whether you’re struggling to lose a few pounds, or a bonafide Gym-Rat looking to accelerate muscle-growth. You will find your answers here. The Truth About “Calories”, “Carbs”, “Fat-loss”, “Weight-Training”, “Metabolism”, “Belly-Fat” “Genetics”, “Cardio” ,“Building Muscle”, “Cellulite”, “Supplements”, “Eating”, “All types of Exercise”, and so much more. Today alone, millions of people will decide to change the way their body looks. Unfortunately, that’s about as close as many will get to actually doing it. Why? Because too often, the dumb things people believe, the stupid things people do, and the crap people buy makes it nearly impossible. NEW DIET BOOKS? Every few months a new book hits the news-stands claiming to have the magic solution to weight-loss. One-hundred-thousand different books have made it to book-store shelves in the past 10 years. Haven’t we all learned our lesson? Apparently not. TV INFOMERCIALS? They make billions selling lies, scams, and bogus products. Don’t be fooled by the high-energy “rich” TV Fitness Trainer. Notice the fine-print on the bottom of your TV screen. It usually says “These results are not typical”. Trust me, they’re not. DIET SUPPLEMENTS? A complete rip-off. We mistakenly believe the paid testimonials and sexy claims that promise us we can shed pounds like magic, or build huge rock-hard muscles in only a few weeks. Duh! FRIENDS & CO-WORKERS? You’ll hear some of the dumbest advice ever from other-wise intelligent people. The only problem is that when it comes to accurate exercise and eating advice…they simply don’t know what the hell they’re talking about. Often, it’s not their fault, they’re just repeating the same dumb nonsense they’ve heard – and believe – from others.

About Franny

Franny Goodrich is the author of three published books on the topics of diet, exercise and weight-loss. Edgy and often controversial, Goodrich makes no apology for anyone’s ruffled feathers, or a few raised eyebrows, especially within the billion-dollar weight-loss Industry. He continues to be an aggressive consumer advocate against frauds and scams. Goodrich’s first book, appropriately titled; “Diet, Exercise, & Weight-loss Bullsh*t -Exposed!”, is a humorous, yet informative expose’ on the myths, lies, and scams within the Industry. It became an instant and huge internet hit. A New Edition was released in 2011. Goodrich’s second and third book; “Kiss The Fat Goodbye – Uncensored”, and “What Works, What Doesn’t, & Why”, respectively, are both largely collections of excerpts from his popular web-pages, advice blogs, magazine articles, and personal interviews. Goodrich, an Exercise Science Buff, is a former National-level Track and Field Athlete and Natural-Bodybuilding Competitor. He has been a successful Certified Personal Trainer (ACE). Goodrich has nearly 30-years teaching-experience in the fields of Fitness and Athletics. In 1990 Goodrich created and owned the North Carolina-based Health Club Chain “World Famous Big Ape Gym”.

I’m sure you’ve dealt with it in your personal training business before. Clients that you have to chase down for money, don’t show up on time, or worse, don’t show up at all. Hell, many of us have even hired a lot of trainers that can’t show up on time or at all. Clearly, these people are not taking you or your time or your business seriously at all.

It’s already going to be hard for us just because of the nature of what we are doing. We need to do everything we can to raise that standard and attract the right customers and employees.

Take it seriously, make your clients, prospects, and employees take it seriously too. Stand up and project a professional image. Build your brand. Look nice. Look like you really know what you are doing compared to the unprofessional people out there. Don’t settle for the same old crap from clients and employees.

Here are a few business tools that can help you do that.
